Use this form to reserve your EXHIBIT HALL BOOTH SPACES for the 2025 AFHE CONVENTION.

Please note: the Young Entrepreneur booth application will be a separate form released in February. There are also separate applications for sponsorships, non-exhibitor welcome bag inserts, and non-exhibitor advertising available at afhe.org/exhibitor-portal.

2025 Exhibitor Application

Please read through the Exhibitor Information Packet at afhe.org/exhibitor-portal for details prior to completing the exhibitor application. You and your onsite representatives will be responsible for the information in the packet, which has been provided in order for you to have a smooth and successful experience at the AFHE Convention.

BOOTH ORDER

Please complete this section to let us know what type of booth space you wish to order. Refer to the draft layout map at afhe.org/exhibitor-portal. The total estimated amount owed can be found at the bottom of this form. Once your application has been reviewed and approved, you will receive a confirmation by email with an invoice and payment instructions. Late registration (April 2, 2025 and later) will incur a $100 late fee ($200 for large booth blocks).

Reaching Higher Expo (Post-Secondary Opportunities)

If you are an eligible college/university, a tech/trade school, Christian ministry or missions organization, gap year program, or related business and would like to request a table at our Reaching Higher Expo on Thursday, July 17, please add that registration here. One table per vendor. Convention exhibitors receive $75 off their Reaching Higher table fee. Non-exhibitors wishing to reserve a Reaching Higher table may do so beginning January 30, 2025 by emailing collegefair@afhe.org.

BOOTH NOTES & SET-UP INFORMATION

Refer to the draft layout for booth numbers and exhibit hall floor plan (afhe.org/exhibitor-portal). You may indicate up to three preferences for booth location. We will do our best to honor booth preferences while also making sure that there is a good distribution of different types of exhibitors throughout the hall. Requesting a particular booth location does not guarantee that spot. PLEASE NOTE THAT THE DRAFT LAYOUT IS NOT UPDATED TO SHOW CURRENT AVAILABILITY; all booth assignments remain tentative until publication in April 2025.
Vehicle Size or Shipping Arrangements
This information is needed to help us regulate vehicle access during load-in on Thursday, July 17.
Amount of Time Needed for Booth Set-Up
Please provide an accurate estimate of how long it takes to set up your booth.
Music / Sound at Your Booth
Please review the guidelines about music or sound from your booth on page 21 of the Exhibitor Information Packet. Sound must be kept low enough so as not to disrupt neighboring exhibitors.
Food Sample Distribution
Do you plan to distribute food or food samples from your booth? Please review guidelines pertaining to food distribution on page 22 of the Exhibitor Information Packet.

WELCOME BAG ADVERTISING

Registered exhibitors have the opportunity to advertise in the welcome bags distributed to attendees at check-in. Prices below show the discount rates for registered exhibitors; prices are unchanged from 2024. DEADLINE to order/pay is May 30, 2025.

Ad specs will be sent upon approval of your order. Ad copy must be received by April 30, 2025.

EXHIBITOR WORKSHOP

Registered exhibitors have the opportunity to pay for an exhibitor workshop in one of the three curtained pavilions in the exhibit hall. Connect with interested attendees in a more in-depth, 60-minute presentation format. One workshop per exhibitor, subject to approval, but you may request to be placed on a waiting list if there is availability for a second workshop time. Please email vendors@afhe.org to inquire.

• I agree to refrain from presenting material or making statements at the AFHE Convention that are in conflict with AFHE’s mission of promoting parent-led home-based education and preserving the freedom to homeschool in Arizona, or statements that conflict with the AFHE Board of Directors’ Statement of Faith (available at www.afhe.org/about-afhe).

• I understand that AFHE requests that speakers refrain from making derogatory comments about other forms of education and/or other faiths/religions.

• I understand that AFHE’s philosophy is to promote the merits of home education and the beauty of Christianity without tearing down or bashing other forms of education or other religions. Factual information contrasting homeschooling with other forms of education may be shared.

• I will not promote taxpayer-funded education programs, tax credits, or vouchers for homeschoolers during the AFHE Convention.

• I understand and agree that inclusion of any visual, written, or graphical content in a workshop presentation constitutes permission for session attendees to utilize such material for their personal use. All other copyright and intellectual property laws apply to any other uses.

EXHIBITOR NAME BADGES – order extra badges here

EACH BOOTH SPACE RENTED COMES WITH THREE (3) NAME BADGES. Exhibitors with 3 or more booths will receive a maximum of 9 badges. Each person, adult or youth, working in your booth must either have an exhibitor name badge or be registered for the AFHE Convention. PRIZE DONATION OPPORTUNITY

As a means to encourage attendees to shop at exhibitor booths on-site during the convention, AFHE hosts the Buy It Here! promotion. There is no expense or extra work for exhibitors. Learn more in the Exhibitor Information Packet on page 12.

Applying to be an exhibitor for the AFHE Convention is a two-step process. First, submit this application. Second, AFHE will review your application; if approved, we will send you an invoice and payment instructions.
